Terms and Conditions
The agreement between you and the operator of CoApplyBoard: what the service does, what it costs, and what it does not promise.
These terms, and who you are contracting with
These terms are the agreement between you and EMFIX LIMITED, a company registered in England and Wales under company number 16187894, which operates CoApplyBoard. In these terms “we”, “us” and “our” mean EMFIX LIMITED, and “you” means the person who holds the account.
They take effect when you create an account, and they continue until your account is closed. Please read them before you sign up, and keep a copy; you can return to this page at any time, and we will email you if we change them in a way that affects you.
Our Privacy Policy and our Cookie Policy form part of this agreement. Where a plan description on our pricing page conflicts with these terms, these terms prevail, except on price and billing period, where the price shown at checkout is what you pay.
You are contracting with us as a consumer. Nothing in these terms removes or limits your statutory rights, and where a term below would do so, your statutory rights win.
Your account
You must be 18 or over and have the right to work in the United Kingdom or be seeking work here. You must give accurate information when you sign up and keep it up to date, because we use it to apply for jobs in your name.
You confirm your email address by entering a code we send to it, and you sign in the same way. Your account is yours alone: do not share access to it, and tell us at hello@coapplyboard.com straight away if you think someone else has reached it.
One person, one account. Because closing an account permanently releases its email address, an address that has been used before cannot be used to open a second account; see clause 10.
What the service is
We provide a job-application service. A specialist assigned to you researches the roles you are targeting, builds a master CV with you, writes a tailored CV and cover letter for each role, submits the application in your name, and records what was sent and what happened to it on your board.
Your specialist is assigned by a supervisor, who matches you to someone working in your field. An assignment can change: if your specialist leaves, is unavailable, or if a colleague is better suited to a direction you have decided to take. When that happens your CVs, applications, history and preferences move with you: you never start again, and you never have to re-explain yourself.
The volume of applications is whatever your plan covers, agreed with your specialist as a weekly rhythm at the start so you know what is going out and roughly when. You choose the job titles, sectors, locations and salary band, and you can change them at any time; the next batch of applications reflects the change.
You approve your base CV before we use it. After that, your specialist tailors it for each role without asking again, so applications can go out promptly. You can review anything that has been sent on your board, ask for a rewrite of anything you are unhappy with, or tell your specialist to pause at any time.
We provide the service with reasonable care and skill, as the Consumer Rights Act 2015 requires, and within a reasonable time.
What this service is not
We are not an employment agency or an employment business. We do not find work for you, we do not introduce or supply you to employers on an employer’s instructions, and we are not paid by employers. We are engaged and paid by you, to prepare your applications and submit them on your behalf: the administrative and drafting work you would otherwise do yourself.
The decision to apply for any particular role is yours: you set the criteria and you can veto or redirect at any time. Every application is made in your name, as your own application.
We do not act as your employment adviser, your immigration adviser or your legal adviser. Nothing we write for you or say to you is advice on your right to work, your visa status, or any legal question, and you should take proper advice on those from someone qualified to give it.
What we do not promise
We do not guarantee that you will be invited to interview, receive an offer, or be employed. We do not guarantee a particular number of responses, a response rate, or a salary. No member of our staff is authorised to give any such guarantee, and if one is given to you it does not bind us.
Hiring decisions belong entirely to employers. What we undertake is to prepare and submit applications of a proper standard, on the agreed rhythm, and to keep you informed, not to produce an outcome that is not ours to produce.
We do not control employers’ systems. An employer may reject an application, never respond, close a vacancy, or use automated screening of its own. None of that is a failure of this service.
Plans, prices and payment
We offer two plans. The Monthly Pass costs £49.99 per month and renews every month until you cancel. The 3-Month Accelerator is a single payment of £104.97 for three months of service: £34.99 a month, a saving of 30% against the monthly price. It does not renew; when the three months end, you choose whether to buy again.
Prices include VAT where it applies. The price you see at checkout is the price you pay, and there are no joining fees, per-application charges or other extras.
Payment is taken by our payment provider, Stripe, at checkout, by card or through Klarna, and for the Monthly Pass then automatically at the start of each renewal period using the payment method you gave. We never see or store your card details. If a renewal payment fails we will tell you and try again; if it still fails, we may pause the service until it is settled, and after 14 days we may end your subscription under clause 15. Where you pay through Klarna, your agreement with Klarna about instalments is separate from these terms.
We may change our prices. An increase will not affect a period you have already paid for, and we will give you at least 30 days’ notice by email before it applies to a renewal, so that you can cancel first if you would rather not pay it.
Starting the service, and your 14-day right to cancel
Because you buy this service online, you normally have 14 days from the day the contract is made to change your mind and cancel for a full refund, under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
We start work as soon as you have paid, and before you pay we ask you to confirm, by ticking a box on the checkout page, that you want us to start immediately and that you understand what that means. Requesting an immediate start does not remove your right to cancel within those 14 days, but it does mean two things. If you cancel part-way through, we may charge a proportionate amount for what we have already done: a share of the price reflecting the days elapsed and the applications already prepared and sent. And if the service has been fully performed within the 14 days with your agreement, the right to cancel ends at that point.
To cancel within the 14 days, email hello@coapplyboard.com or tell your specialist. You do not have to give a reason, and you may use the model cancellation form in the Regulations if you prefer. We will refund what is due within 14 days of being told, by the same method you paid with.
This right is separate from, and in addition to, your ability to cancel a subscription at any time under clause 9.
Refunds when you are hired
If you accept a job offer while you are on the 3-Month Accelerator, we refund the unused part of what you paid: a pro-rata amount for every full day left in the period at the point you tell us. You paid for a job search, so once the search is over you stop paying for it.
To claim it, cancel from your dashboard, choose “I got a job offer” as the reason, and upload the offer document together with a link to the job. We ask for the offer because the refund is a genuine money-back promise rather than a general right of return, and we need to be able to evidence it. The document is held only for that purpose and is destroyed if you erase your account.
The Monthly Pass bills on a rolling basis and can be cancelled at any time. The period you are in is not refundable, and no further payment is taken. Because a month is the shortest period we sell, the most that is ever left unused is a few weeks, which is why the pro-rata promise attaches to the longer plan.
We aim to pay refunds within 14 days of approving them, to the payment method you used.
Cancelling your subscription
You can cancel at any time from your dashboard. We will ask why, because the answer tells us something useful, but only the “I got a job offer” reason changes what happens next: it starts the refund in clause 8.
Cancelling stops future payments. Unless a refund is due under clause 7 or clause 8, you keep access to the service until the end of the period you have paid for, and no applications are made in your name after that.
Cancelling a subscription is not the same as erasing your account. Your board, your CVs and your history remain available to you, and you can subscribe again later with the same account.
Closing your account
You can erase your account entirely from the account page in your dashboard. It is a deliberate, three-step process ending with a code sent to your email address, because it cannot be undone.
What is destroyed and what is kept is set out in clause 10 of our Privacy Policy, and the dashboard shows you the same two lists before you confirm. In short: everything personal is destroyed, and what survives is the record that applications and a payment were made, with nothing identifying you attached.
One consequence is worth repeating here. Your email address is released from our records permanently, and our system will not create a second account for an address it has seen before. If you think you may return, cancel your subscription instead.
Erasing your account does not withdraw applications already submitted to employers, and does not by itself entitle you to a refund; if a refund is due under clause 7 or clause 8, claim it before you erase the account.
Authority to act on your behalf
By subscribing, you authorise us to prepare applications for you and to submit them in your name to the employers, recruiters and job boards that match the criteria you have set. That authority covers completing application forms with the information on your profile, attaching the CV and cover letter prepared for the role, and corresponding with the employer where the application requires it.
The authority does not extend to accepting or declining an offer, negotiating terms, resigning from a job, entering into any contract on your behalf, or making any payment in your name. Those are yours alone.
You can withdraw or limit the authority at any time: tell your specialist, or cancel your subscription. Withdrawing it stops future applications; it cannot recall applications already sent, although we will ask an employer to withdraw one if you ask us to.
Every declaration made on your application is made as yours. You are responsible for the accuracy of the information you give us, including your right to work, your qualifications, your employment history and the equal-opportunities answers. We complete forms from what you have told us, and we do not verify it.
Information you give us, and your referees
You must give us information that is accurate, complete and yours to give, and you must keep it current: a change of address, notice period, visa status or right to work affects applications going out in your name.
Before you give us a referee’s details, make sure they know you have named them and are content to be approached. Tell us whether they may be contacted before an interview; we follow what you say.
Do not upload anything you have no right to share, anything belonging to a former employer that you are not free to disclose, or anything unlawful. If you do, we may remove it and, if it is serious, act under clause 15.
We do not ask for your passwords to job boards or any other site, and you must not send them to us.
Working with your specialist
Your specialist works to the criteria you set and the rhythm you agree. Leave notes on a draft if you want something changed and they go straight to the person who wrote it; a draft you do not like is useful information and we would rather have it than not.
We ask that you treat our staff with courtesy. Abuse, harassment or discriminatory conduct towards a member of our team is grounds for us to end the agreement under clause 15.
You are free to keep applying for roles yourself while you are with us, and to log those applications on your board so the picture stays complete.
Ownership of documents and materials
You own the information and documents you give us, and you own the CVs, cover letters and personal statements prepared for you. They are yours to use however you wish, including after your subscription ends.
You grant us a licence to use that material for the purpose of providing the service: storing it, editing it, tailoring it for a role, and sending it to employers you have asked us to apply to. The licence lasts while your account is open and ends when it is erased, except to the extent an application has already been sent and is out of our hands.
We own the CoApplyBoard site, the board, our name and branding, and the templates and methods behind our work. Nothing in these terms transfers any of that to you, and you may not copy, resell or redistribute the service itself.
We may describe our work in anonymous, aggregate terms. We will not use your name, your documents or anything identifying you in marketing without asking you first.
Suspending or ending the agreement
We may suspend or end your subscription if a payment remains unpaid after 14 days, if you have given information you knew to be false, if you use the service unlawfully or to apply on someone else’s behalf, or if you are abusive towards our staff.
Except where the reason makes it impossible, we will tell you first and give you a chance to put it right. If we end the agreement other than for one of those reasons, we will refund the unused part of your current period.
If you think a decision was wrong, reply to the email telling you about it or write to hello@coapplyboard.com. A director will review it and answer within 14 days.
We may also stop offering the service altogether. If we do, we will give you at least 30 days’ notice and refund the unused part of anything you have paid.
Availability of the service
We aim to keep the board available at all times, but we do not promise uninterrupted access. We may take it down for maintenance, and we will keep that to a minimum and give notice where we reasonably can.
The board works in any modern browser on a phone or a laptop; there is no app to install. We are not responsible for problems caused by your own device, browser or connection.
Work on your applications is done by people during working hours. A short interruption to the site does not pause the service, and does not by itself entitle you to a refund.
Our responsibility to you
If we fail to provide the service with reasonable care and skill, we are responsible for loss you suffer that is a foreseeable result of that failure. We are not responsible for loss that is not foreseeable: loss that neither of us could have contemplated when the agreement was made.
We are not responsible for the outcome of any application, for an employer’s decision or conduct, for a job you did not get, or for earnings you did not receive. Those depend on employers rather than on us.
Where we are liable, our total liability for all claims arising in any 12-month period is limited to the amount you paid us in that period. That limit does not apply to the liabilities in the next paragraph.
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, for any breach of your legal rights in relation to the service, or for anything else that cannot lawfully be limited or excluded.
We supply this service for your personal use. If you use it for a business purpose we have no liability for loss of profit, loss of business, business interruption or loss of business opportunity.
Changes to the service and to these terms
We may improve or change the service, and we may update these terms: to reflect a change in the law, a change in how the service works, or a change to our plans and prices.
If a change materially affects you we will email the address on your account at least 30 days before it takes effect, and tell you what is changing. If you do not accept it you can cancel before it applies, and we will refund the unused part of your current period.
Minor changes that do not affect your rights (correcting an error, clarifying wording) take effect when they are published here. The date at the top of the page tells you when the terms were last revised.
Complaints
If something has gone wrong, tell your specialist first; most things are resolved that way within a day or two.
If that does not settle it, email hello@coapplyboard.com and mark it as a complaint. We will acknowledge it within five working days and give you a full answer within 28 days, from a director rather than the person the complaint concerns.
If you are still unhappy you can seek independent help. Citizens Advice can advise on your consumer rights, and you retain every right to take a claim to court.
Other terms that apply
We may transfer this agreement to another business, for example if ours is sold. If we do, we will tell you, and it will not affect your rights; you can cancel and be refunded for the unused part of your period if you would rather not continue.
You may not transfer your account or your rights under this agreement to anyone else.
This agreement is between you and us, and nobody else can enforce it.
If a court finds any part of these terms unenforceable, the rest continues to apply. If we do not insist on something straight away, that does not stop us insisting on it later.
Referring a friend
Your dashboard gives you a referral code. If someone signs up with your code and makes their first payment, we credit you with 5% of what they actually paid, rounded up to the penny. The credit is earned once for each person you refer, on their first payment only, and only while you have a paid plan yourself or have had one in the past.
The credit is money off your own next payment with us, and nothing else. It comes off automatically, either at checkout when you subscribe again or when your Monthly Pass renews, and at least 30p of every payment is always charged. Credit that does not fit on one payment carries over to the next. It does not expire, but it is not cash: it cannot be paid out, transferred to anyone else or refunded, and it ends when you erase your account under clause 10.
If you use a discount code at checkout, the code applies to that payment and your credit waits for the next one.
If the person you referred is refunded, we take back 5% of the amount refunded from your credit, and if their payment is reversed by their bank or card issuer we take back all of the credit it earned. This can leave your credit below zero, in which case the shortfall comes off credit you earn later. If a payment of yours that used credit is refunded in full, the credit comes back to you; a partial refund of such a payment does not restore it.
The scheme is for referring other people. Credit obtained by opening accounts for yourself, or otherwise contrary to the spirit of the scheme, may be withheld or reversed. We may change or withdraw the scheme by giving you at least 30 days’ notice by email; credit already earned is not affected.
Governing law
These terms are governed by the law of England and Wales.
You and we may bring legal proceedings in the courts of England and Wales. If you live in Scotland or Northern Ireland, you may also bring proceedings in the courts there, and you keep the protection of any mandatory consumer law of the place where you live.
